1. Agreement to Terms By enrolling a student in Play Every Day, you (the parent, guardian, or adult student) agree to be bound by these Terms and Conditions and all associated Studio Policies, including but not limited to the Child Safety Policy, Bushfire Policy, Make-Up Session Policy, Challenging Behaviour Policy, and Codes of Conduct.
2. Policy Subject to Change Play Every Day reserves the right to review and update any policy or these Terms and Conditions at any time to reflect best practice, legal requirements, or operational changes. Families will be notified of significant changes via email or our website. Continued participation after such changes constitutes acceptance.
3. Fees and Payments
Fees are payable in full by the date specified on the invoice.
Non-Refundable Policy: Fees are non-refundable and non-transferable. No refunds or credits will be issued for missed classes due to student illness, personal events, holidays, or if a student is withdrawn by a parent partway through a term.
Play Every Day reserves the right to suspend a student’s participation if fees remain unpaid.
4. Cancellations and Make-Ups
If Play Every Day cancels a class (e.g., due to staff illness where no substitute is available), a make-up session will be offered. If a family cannot attend the offered make-up session, no refund or credit will be provided.
Cancellations due to emergency or safety (e.g., Catastrophic Bushfire days) are handled as per the Bushfire Policy and do not entitle the family to a refund.
5. Professional Discretion (Placement & Staffing)
The Creative Director reserves the right to determine student placement (level/class) based on age, ability, and safety. This decision is final and does not entitle the family to a refund.
Faculty members are subject to change. Every effort will be made to provide a qualified substitute to maintain continuity of education.
6. Liability and Waiver Enrollment is subject to the signing and acceptance of the Play Every Day Waiver, Release, and Indemnity Agreement. You acknowledge that drama activities involve inherent risks and you agree to indemnify Play Every Day against claims as outlined in the Waiver.
7. Termination of Enrollment Play Every Day reserves the right to terminate a student's enrollment immediately for breaches of the Code of Conduct (by student or parent) or under the Challenging Behaviour Policy. In such cases, no refunds will be given.
Part B: Release and Waiver of Liability
In consideration of participation in Play Every Day programs, the undersigned acknowledges and agrees to the following:
1. Acknowledgment of Risk: I understand that performing arts activities involve physical movement and emotional expression. I voluntarily assume all risks of injury, physical or emotional, associated with participation.
2. Medical Disclosure & Consent:I certify that I have disclosed all relevant medical, physical, or neurodivergent conditions on the enrollment form. I understand that failure to disclose such conditions may limit Play Every Day’s ability to make reasonable adjustments. In an emergency, I authorize Play Every Day staff to seek medical treatment or ambulance transport at my expense.
3. Emotional Safety & Content: I acknowledge that drama can explore various themes. I agree to notify the Creative Director if there are specific themes or "triggers" that may impact the student's mental health so that appropriate support can be discussed.
4. Release of Liability: To the maximum extent permitted by the Fair Trading Act 1987 (SA) and the Competition and Consumer Act 2010 (Cth), I release and indemnify Play Every Day, its staff, and the owners of the premises (e.g., Macclesfield Institute/St Andrews Hall) from any liability for injury, loss, or damage arising from participation.
5. Statutory Compliance: This agreement is governed by the laws of South Australia, including the Work Health and Safety Act 2012 (SA), the Equal Opportunity Act 1984 (SA), and the Children and Young People (Safety and Support) Act 2025 (SA).
Part C: Media and Privacy
1. Photography/Video: I grant permission for Play Every Day to take and use photos/videos of the student for promotional purposes (social media/website/programs) unless I have provided a written "Opt-Out" request to the Director.
2. Intellectual Property: Any original scripts or choreography created during classes remain the property of Play Every Day
Play Every Day – Make-Up Session Policy
1. Missed Classes Due to Illness, Events, or Holidays
Families are advised that if a student misses a class due to family illness, personal events, or holiday commitments, Play Every Day is unable to offer make-up sessions.
No Refunds: No refunds, credits, or fee reimbursements will be given for classes missed by students for any of the reasons listed above.
This policy is in place to maintain the integrity of our class schedules and to ensure that all students receive the full benefit of their enrolled classes.
2. Classes Cancelled by Play Every Day
Substitute Teachers: Every effort will be made to secure a substitute teacher to ensure classes proceed as scheduled.
Cancellation Options: In the event that Play Every Day must cancel a class (e.g., if a substitute cannot be secured), we will provide options for make-up sessions.
No Refunds: If a family is unable to attend the specific make-up session dates and times offered by Play Every Day, no refunds or credits will be issued.
Notification: Parents will be notified of available dates and times to ensure students can make up for the missed instruction.
3. Emergency & Safety Cancellations
No Refunds: In accordance with our policies, no refunds or fee reimbursements will be given when classes are cancelled due to emergency or safety reasons.
Make-Up Sessions: Where classes have been cancelled for safety reasons, Play Every Day will not offer a make-up session unless the current term schedule and capacity permit it. If a student cannot attend a make up session Play Every Day is not responsible for refunds or extra make up sessions
4. Terms of Make-Up Sessions
Validity: All authorized make-up sessions must be completed within the same term as the cancelled class.
Supervision & Ratios: All make-up attendance is subject to our safe adult-to-child ratio of 1:8 and our requirement that two teachers are present in each classroom.

Class Cancellation Policy Effective Date: 2025 | Version 1.0
At Play Everyday Drama School, we are deeply committed to providing consistent, high-quality classes for all our students. We understand that disruptions can be frustrating, and we always strive to give as much advance notice as possible when a class must be cancelled.
However, there are certain circumstances beyond our control that may require us to cancel a class without the ability to offer a refund. This policy outlines those circumstances and explains how we will communicate with you when they occur.
1. Circumstances Where No Refund Will Be Issued
The following events may result in class cancellation without a refund. In all cases, Play Everyday will endeavour to reschedule affected classes where possible.
a) Extreme Heat and Hot Weather
The health and safety of our students and staff is our highest priority. Classes may be cancelled when temperatures reach levels that pose a risk to participant wellbeing, particularly for outdoor or poorly air-conditioned venues.
Cancellations due to extreme heat will generally follow the guidelines of the relevant state government or Bureau of Meteorology heat health alerts.
We will notify families as early as possible — ideally the evening before or by 7:00am on the day of the class.
Where feasible, we will attempt to move classes to an alternative cooled venue.
b) Natural Disasters and Severe Weather Events
In the event of a natural disaster or severe weather event that renders it unsafe or impractical to hold classes, sessions will be cancelled without a refund. This includes but is not limited to:
Severe storms, flash flooding, or cyclones
Earthquake or structural damage to the venue
Any government-declared state of emergency affecting the local area
Power outages or infrastructure failures caused by extreme weather
c) Bushfires and Smoke Hazards
Given the Australian context, bushfires and smoke events are a real and serious risk. Classes may be cancelled in the following circumstances:
Active bushfire in or near the local area posing a direct threat to the venue or travel routes
Hazardous smoke conditions where the Air Quality Index (AQI) reaches levels deemed unsafe, particularly for children with respiratory conditions
Official advice from the Country Fire Authority (CFA), NSW Rural Fire Service (RFS), or relevant state authority recommending people stay indoors
Venue evacuation or precautionary closure due to nearby bushfire activity
d) Teacher Illness or Unavailability
Every effort will be made to find a qualified replacement teacher in the event that your regular teacher is unwell or unavailable. We maintain a network of experienced and vetted drama educators who may step in at short notice.
You will be notified as soon as we are aware of a teacher absence and informed whether a replacement has been secured.
If a suitable replacement cannot be found in time, the class will be cancelled. In this circumstance, no refund will be issued; however, Play Everyday will make every reasonable effort to reschedule the missed session.
Cancellations due to illness will not be charged as a missed class against a student's enrolment allocation.
In the event of a widespread illness (e.g., a pandemic or health directive), Play Everyday may transition to online classes where possible as an alternative to cancellation.
e) Other Force Major Events
Any other event outside the reasonable control of Play Everyday Drama School, including but not limited to venue closures, government-mandated restrictions, or public health orders, may result in class cancellations without a refund. We will always act in good faith and communicate promptly with all affected families.
2. How We Will Communicate With You
Notifications will be sent via email and/or SMS to the contact details provided at enrolment.
We will also post updates on our website and social media channels where appropriate.
It is the responsibility of families to ensure their contact details are up to date.
Play Everyday will not be held responsible if a family does not receive notification due to outdated contact information.
3. Makeup Classes and Rescheduling
While refunds will not be issued for cancellations under the circumstances listed in this policy, Play Everyday Drama School will make every reasonable effort to offer a makeup class or to reschedule the cancelled session within the same term. The availability of makeup classes is subject to venue and teacher availability and cannot always be guaranteed.
4. Acceptance of This Policy
By enrolling in classes at Play Everyday Drama School, families acknowledge and accept the terms of this Cancellation Policy. This policy forms part of the enrolment agreement and may be updated from time to time. The most current version will always be available on our website at www.playeveryday.com.au.

1. Our Commitment
Play Every Day is committed to providing a safe, inclusive, and supportive environment for all children and young people. We believe that every child has the right to feel safe, respected, and empowered to participate in the arts. Child safety and wellbeing are central to our values of inclusion, creativity, and fun.
2. Scope
This policy applies to all staff, contractors, volunteers, students, parents/guardians, and visitors involved in Play Every Day activities, including:
Weekly drama classes
Performances, rehearsals, and showcases
Community workshops and outreach programs
Online and digital interactions
3. Child Safety Principles
We uphold the following principles:
Children have the right to be safe, respected, and listened to.
Families and communities play a vital role in child safety and wellbeing.
Cultural safety is essential for Aboriginal and Torres Strait Islander children.
LGBTQIA+ children, neurodivergent children, and children with disabilities have the right to feel included, visible, and supported.
Child safety is everyone’s responsibility.
4. Code of Conduct
All adults involved with Play Every Day must:
Treat children and young people with respect at all times.
Listen to children and take their concerns seriously.
Never engage in inappropriate, abusive, or harmful behaviour.
Avoid one-on-one unsupervised situations wherever possible.
Use positive and age-appropriate language.
Respect children’s boundaries and privacy.
Report any concerns about child safety immediately.
5. Recruitment & Training
All staff, contractors, and volunteers must hold a valid Working With Children Check (WWCC) or equivalent clearance.
Reference checks are conducted prior to appointment.
Staff and volunteers receive child-safe training and are familiar with this policy.
Every class has at least one first aid–trained person present to ensure immediate response to any injuries or health concerns.
6. Risk Management
We actively identify and minimise risks to children by:
Maintaining a safe adult-to-child ratio of 1:8 in all classes.
Ensuring two teachers are always present in each classroom, regardless of class size, to support supervision and emergency response.
Having at least one first aid–trained person present in every class, with first aid kits accessible.
Maintaining clear supervision during breaks, rehearsals, and performances.
Creating safe physical environments (venues checked for hazards).
Applying online safety measures for digital platforms and social media.
7. Reporting & Responding
Concerns, disclosures, or allegations of abuse, neglect, or harm must be taken seriously and reported immediately to the Child Safety Officer (or the Director).
Where required, we comply with mandatory reporting obligations to government authorities.
All reports are handled with confidentiality, fairness, and respect.
8. Empowering Children
We encourage children to:
Share their ideas and have a voice in decision-making.
Know their rights and speak up if they feel unsafe.
Participate in creating a positive, inclusive culture.
9. Policy Review

Respectful Behavior: Treat teachers and fellow students with kindness and respect, mirroring the values of inclusion and fun.
Class Placement: Understand that class placement is determined by the Director based on age, ability, and experience to ensure the best learning outcome.
Attendance: Arrive on time and ready to participate; students should be aware that missing classes for personal events does not qualify for a make-up session.
Feedback: Share ideas and contribute their voice to the creative process and decision-making within the studio.
Anti-Bullying Commitment: Bullying in any form—including verbal, physical, or digital—will not be tolerated at Play Every Day
3. Compliance and Consequences
Fairness: All conduct matters will be handled in a fair and transparent manner in line with South Australian anti-discrimination laws.
Reporting: Any breach of this code should be reported via the established Complaints and Grievances Procedure.
Resolution: The Studio Director will determine appropriate actions to resolve any conduct issues
4. Parent Code of conduct
Respectful Communication: Treat all staff, students, and other families with respect and courtesy. Use positive and appropriate language at all times.
Supportive Environment: Encourage your child’s participation and respect their boundaries and privacy.
Safety Compliance: Adhere to all safety protocols, including prompt collection of students and following emergency procedures
Zero Tolerance for Bullying: Do not engage in or encourage bullying, harassment, or discriminatory behaviour toward any member of the Play Every Day community.
Professional Boundaries: Respect that class placement and instructional decisions are made by the Director to ensure the safety and optimal learning of all students

Play Every Day – Student Placement and Class Management Policy
1. Class Placement Criteria
Play Every Day reserves the right to determine the most appropriate class placement for all students. This determination is made to ensure the safety, well-being, and optimal learning environment for all participants, in line with the Children and Young People (Safety) Act 2017 (SA). Placement is based on:
Age: Ensuring developmental appropriateness for the group.
Ability: Matching the technical or creative challenge to the student's current skill level.
Experience: Considering previous training in the arts or performance.
2. Right to Reassign
Director’s Discretion: Play Every Day reserves the absolute right to move a child to a different class level (up or down) based on our professional assessment of their ability.
Binding Decision: This reassignment may be implemented regardless of whether the parent or guardian agrees with the assessment.
Refunds: Reassignment to a different level does not entitle the family to a refund or credit.
3. Prerequisites and Instructor Permission
Certain advanced or specialized classes may require prerequisites or explicit permission from the instructor.
These requirements are implemented to maintain the quality of instruction and ensure student safety, as per the Work Health and Safety Act 2012 (SA).
4. Class Cancellation
Play Every Day reserves the right to cancel any class with insufficient registration.
This decision is made in the interest of resource management and program viability, in accordance with the Fair Trading Act 1987 (SA).
In the event of such a cancellation, families will be notified and offered alternative class options where available.
5. Faculty Changes
All faculty members are subject to change.
In the event of a change, Play Every Day commits to substituting with an equally qualified instructor to ensure continuity of education.
All staff changes maintain compliance with the Education and Children's Services Act 2019 (SA) and the Child Safety (Prohibited Persons) Act 2016 (SA), ensuring all instructors hold valid clearances.
6. Fairness and Transparency
This policy is implemented in a fair and transparent manner, in line with South Australian anti-discrimination laws and the Equal Opportunity Act 1984 (SA).
Any concerns regarding placement should be directed to the Creative Director as per our Complaints and Grievances Policy.

Play Every Day – Challenging Behaviour Policy
1. Our Approach
Play Every Day is committed to a positive, inclusive, and creative environment. We recognize that "challenging behaviour" is often a form of communication or a result of unmet needs. However, to ensure the safety of all students and staff (as per our Child Safety Policy), we must manage persistent or dangerous behaviour through a clear, transparent process.
2. Behaviour Expectations
Students are expected to adhere to the Student Code of Conduct, which includes:
Following teacher instructions.
Respecting the physical and emotional safety of others.
A zero-tolerance approach to bullying, physical aggression, or harassment.
3. The Management Process (Step-by-Step)
Except in cases of extreme safety risks (see Section 4), we follow these progressive steps:
Verbal Warning (In Class): The student is given a clear verbal redirect by the teacher, explaining why the behaviour is inappropriate and what is expected instead.
Parental Notification: If the behaviour persists within the same session or across multiple sessions, the teacher or Director will inform the parent/guardian via phone or at pickup.
Step 1: Written Warning: If there is no improvement, a formal written warning will be emailed to the parents. This document will outline the specific behaviours of concern and the required changes.
Step 2: Suspension: If the behaviour continues after a written warning, the student will be suspended for a period determined by the Director (usually 1–2 weeks).
Step 3: Expulsion: As a final resort, if all previous steps have failed or if a single incident is deemed severe enough, the student will be permanently removed from the program.
4. Immediate Removal
Play Every Day reserves the right to bypass the above steps and move immediately to suspension or expulsion if the behaviour poses an immediate safety risk to other children, staff, or the student themselves (e.g., physical violence, significant threats, or leaving the premises unsupervised).
5. Refunds
No Refunds: In the event of suspension or expulsion due to challenging behaviour, no refunds, credits, or fee reimbursements will be provided. This is in line with our resource management and the fact that the student's place was held and serviced up until that point.
6. Discrimination & Inclusion (Legal Safeguards)
To ensure compliance with the Equal Opportunity Act 1984 (SA) and to protect the studio from discrimination claims:
Reasonable Adjustments: If a child has a known disability, neurodivergence (e.g., Autism, ADHD), or mental health condition, Play Every Day will work with the family to make "reasonable adjustments" to support the child before moving to formal disciplinary steps.
Behaviour Support Plans: For students with additional needs, we may request a meeting to create a Behaviour Support Plan to help the child succeed in the arts environment.
Fairness: This policy is applied consistently to all students, regardless of race, gender, religion, or disability, provided that the safety of the collective group remains intact.
7. Documentation
The Director will maintain a confidential record of all incidents, verbal warnings, and written communications. These records are essential if a decision is challenged or if a report must be made to regulatory bodies.

Purpose
This policy is in place to ensure the health, safety, and wellbeing of all students, staff, and volunteers during periods of extreme heat. Play Every Day takes reasonable steps to minimise heat-related risks in line with our duty of care responsibilities.Scope
This policy applies to all Play Every Day acting classes, workshops, rehearsals, and performances across all locations.Guiding Principles
The safety and wellbeing of students and staff comes first.
Heat can impact concentration, behaviour, and physical wellbeing.
Decisions will be made with care, flexibility, and common sense.
Real-time conditions and official weather advice (e.g., Bureau of Meteorology forecasts and warnings) will be considered when making decisions.
Temperature Guidelines
As a general guide, decisions will be based on local weather forecasts and real-time conditions:Under 32°C – Classes run as normal, with additional hydration breaks.
32°C–36°C – Classes may be modified to reduce physical activity. More rest breaks will be included.
36°C–38°C – Classes may move to low-energy activities (script work, games, seated exercises) and may be shortened if needed.
Above 38°C – Classes may be cancelled or rescheduled for safety reasons.
Please note: These are guidelines only. Decisions may be made case-by-case depending on factors such as humidity, cooling in the venue, time of day, and student wellbeing.
Additional Factors Considered
Temperature is not the only consideration. Decisions may also be based on:Availability and effectiveness of air conditioning or cooling
Time of day (late afternoon/evening heat retention)
Bushfire risk ratings or extreme weather alerts
Student comfort, regulation, and wellbeing
Classes may also be cancelled on days of Extreme or Catastrophic Fire Danger Rating for safety reasons.
Class Modifications in Hot Weather
During high temperatures, classes may be adjusted to include:Increased water and rest breaks

Flexibility for students to opt out of physical activities if they feel overheated or unwell
Hydration & Clothing
Students are encouraged to:Bring a full water bottle to every class

Medical Considerations
Parents/guardians are responsible for informing Play Every Day of any medical conditions, medications, or additional needs that may increase a child’s sensitivity to heat so appropriate support can be provided.Cancellations, Rescheduling & Communication
The program director reserves the right to cancel, modify, shorten, or reschedule classes due to extreme heat or safety concerns.If a class is cancelled:

Due to venue availability, scheduling, and staffing, it may not always be possible to reschedule cancelled classes.

Supervision & Collection
If a class is cancelled, students must not be dropped off at the venue.
If conditions become unsafe during a session, parents/guardians may be contacted for early collection.
Normal supervision duty of care applies only during scheduled class times.
Parent/Guardian Discretion
Families know their children best. If you feel it is unsafe or uncomfortable for your child to attend on a particularly hot day, you are welcome to keep them home. Please notify us if this is the case.Policy Authority

Play Every Day – Bushfire Policy
1. Our Commitment
Play Every Day is committed to the safety of all children, staff, and families. This policy ensures that we proactively manage the threat of bushfire to maintain a safe and supportive environment.
2. Operational Status by Fire Danger Rating
We follow the South Australian Country Fire Service (CFS) declarations to determine our daily operations:

Closure Alerts: Families will be advised of studio closures via text, email, or social media notifications.
Parent Responsibility: Parents must diligently check messages to ensure students are not dropped off at the studio on Catastrophic days.
Information Sources: On high to extreme days, families and staff should monitor the CFS website, ABC Radio, or 5AA/NOVA for official warnings.
4. Emergency Procedures During Class Hours
If a Catastrophic warning is issued or a bushfire risk develops while classes are in session:
Parent Contact: Families will be contacted immediately via text or phone call.
Safe Collection: Families will be asked to collect students safely.
Supervision: Students will be kept indoors under the supervision of our staff (maintaining our 1:8 ratio) until an authorized adult arrives for collection.

Makeup Classes: If a class is cancelled due to a Catastrophic rating where possible make up classes will be offered
Refunds: There is no reimbursement of fees for the cancellation of classes due to bushfire safety.
6. Student Safety on Buses
Service Disruptions: On Catastrophic days, some bus companies may not operate.
Supervision: It is the responsibility of families to check bus operations to ensure students are not left alone at bus stops.
7. Staff Preparedness & Kits
In alignment with our Child Safety Policy, every class will have at least one first aid–trained person present with an accessible kit. During fire season, these kits must include:
Up-to-date student attendance and contact lists.

Play Every Day – Complaints and Grievances Policy
1. Our Commitment
Play Every Day is committed to providing a transparent, fair, and supportive environment for all children, families, and staff. We believe that feedback and the timely resolution of concerns are essential to maintaining a safe and creative space.
2. Guiding Principles
Fairness: All parties involved will be treated with respect and given the opportunity to be heard.
Confidentiality: All complaints will be treated confidentially, with information shared only on a need-to-know basis.
Timeliness: We aim to resolve all grievances efficiently within the timeframes outlined below.
Safety: In line with our Child Safety Policy, any complaint involving the safety or wellbeing of a child will be prioritized and may bypass informal steps to ensure immediate protection.
3. Resolution Procedure
Step 1: Informal Resolution
Individuals are encouraged to first attempt to resolve issues informally through direct communication with the person(s) involved, where appropriate and safe to do so.
Step 2: Formal Complaint
If informal resolution is not successful or appropriate, a formal complaint should be submitted in writing to the Creative Director, Rachael Williams, at contact@playeveryday.com.au
The complaint should include details of the issue, dates, times, and any supporting evidence.
Step 3: Acknowledgment
The Director will acknowledge receipt of the complaint within 3 business days.
Step 4: Investigation
The Director or a designated staff member will investigate the complaint, which may involve:
Interviewing relevant parties.
Reviewing documentation.
Consulting with external experts if necessary.
Step 5: Resolution
The Director will determine appropriate actions to resolve the complaint.
All parties will be informed of the outcome in writing within 14 days of the complaint being lodged, unless a longer period is required due to the complexity of the issue.
Step 6: Appeal
If the complainant is unsatisfied with the outcome, they may appeal within 14 days of receiving the decision.

Detailed records of all complaints, investigations, and outcomes will be maintained securely and confidentially by the Director

Play Every Day – Make-Up Session Policy
1. Missed Classes Due to Illness, Events, or Holidays
Families are advised that if a student misses a class due to family illness, personal events, or holiday commitments, Play Every Day is unable to offer make-up sessions.
No Refunds: No refunds, credits, or fee reimbursements will be given for classes missed by students for any of the reasons listed above.
This policy is in place to maintain the integrity of our class schedules and to ensure that all students receive the full benefit of their enrolled classes.
2. Classes Cancelled by Play Every Day
Substitute Teachers: Every effort will be made to secure a substitute teacher to ensure classes proceed as scheduled.
Cancellation Options: In the event that Play Every Day must cancel a class (e.g., if a substitute cannot be secured), we will provide options for make-up sessions.
No Refunds: If a family is unable to attend the specific make-up session dates and times offered by Play Every Day, no refunds or credits will be issued.
Notification: Parents will be notified of available dates and times to ensure students can make up for the missed instruction.
3. Emergency & Safety Cancellations
No Refunds: In accordance with our policies, no refunds or fee reimbursements will be given when classes are cancelled due to emergency or safety reasons.
Make-Up Sessions: Where classes have been cancelled for safety reasons, Play Every Day will not offer a make-up session unless the current term schedule and capacity permit it. If a student cannot attend a make up session Play Every Day is not responsible for refunds or extra make up sessions
4. Terms of Make-Up Sessions
Validity: All authorized make-up sessions must be completed within the same term as the cancelled class.
Supervision & Ratios: All make-up attendance is subject to our safe adult-to-child ratio of 1:8 and our requirement that two teachers are present in each classroom.

Play Every Day – Neurodivergence and Disability Inclusion Policy
1. Our Philosophy of Inclusion
Play Every Day is committed to providing a space where children of all abilities can experience the joy of the arts. We celebrate neurodiversity and aim to make our drama classes as accessible and inclusive as possible within our professional framework.
2. Nature of our Service
Facilitators, Not Teachers: Families acknowledge that our staff are trained arts facilitators and professional actors, not specialized special education teachers, therapists, or disability support workers.
Creative Scope: Our expertise lies in drama and creativity. While we do our best to include participants of all abilities, our program is not a clinical or therapeutic intervention.
3. Supervision and Ratios
To ensure safety and quality of instruction, we maintain the following ratios:
Level 1 and 2: A safe adult-to-child ratio of 1:8.
Level 3: A safe adult-to-child ratio of 1:10.
Support Teacher Role: The second facilitator in the room is a Support Teacher for the entire group, not a dedicated one-on-one aide for any specific student. Their role is to assist the Lead Facilitator and ensure the safety and engagement of the whole class.
4. Reasonable Adjustments & Operational Limits
In accordance with the Equal Opportunity Act 1984 (SA), we will make "reasonable adjustments" to our activities to facilitate a student's participation. However:
Facilitation Limits: There may be cases where, despite our best efforts, we cannot safely or effectively facilitate a student within our standard group structure.
Unjustifiable Hardship: If an adjustment would cause "unjustifiable hardship" to the program’s viability or significantly compromise the experience of the other students, we may determine that our setting is not the right fit for that individual at that time.
5. Support Workers
Parent-Funded Support: If a student requires one-on-one assistance to participate safely, stay regulated, or access the curriculum, families are welcome—and may be required—to provide a Support Worker at their own cost.
Requirements: Any external Support Worker must provide a valid Working With Children Check (WWCC) and adhere to our Staff Code of Conduct.
6. Escalation for Disruptive Behaviour
If a student’s participation is consistently disrupting the learning environment or the safety of the group:
Consultation: We will meet with the family to discuss potential adjustments.
Support Worker Requirement: We may provide the family the option to bring a parent-funded Support Worker to continue attending.
Withdrawal: If Play Every Day has done all that is reasonably possible to facilitate the student but the disruption continues, the student may be asked to leave the program.
No Refunds: As per our Challenging Behaviour Policy, if a student is asked to leave due to persistent disruption, no refunds or credits will be issued.

Play Every Day – Student Autonomy & Separation Policy
1. Our Philosophy: The "Stage Door" Transition
Play Every Day believes that drama is a unique space where children learn to trust their own voices. For a student to fully engage in imaginative play, improvisation, and ensemble building, they need a "parent-free" zone. This allows them to develop creative autonomy—the ability to make artistic choices independently.
2. The Three-Week Settling Period
We understand that starting a new activity can be daunting. To support a smooth transition, we implement the following "Step-Away" timeline:
Week 1 (Discovery): Parents are welcome to stay in the room or sit at the back to help the student feel secure.
Week 2 (Transition): We encourage parents to stay for the first 10–15 minutes (the warm-up) and then move to the waiting area or nearby vicinity.
Week 3 onwards (Independence): From Week 3, we move to a "Drop-and-Go" model. This is when the "magic" happens, as the group begins to bond as a team rather than individuals attached to their parents.
3. Why We Encourage Separation
Creative Freedom: Students often "filter" their performance or hold back from being silly/expressive when they are being watched by their own parents.
Peer Bonding: Independence fosters stronger relationships between students. They learn to look to their peers and facilitators for support.
Focus and Safety: A room full of adults can be distracting and can inadvertently create safety hazards during high-energy movement activities.
4. What to Say: Supporting the Transition
To help your child feel confident, we suggest using "Empowering Language" rather than "Comforting Language."
Instead of: "I’ll be right here if you need me," (which implies they might be in danger).
Try: "I can't wait to hear what character you created when I pick you up!"
Try: "You are such a brave storyteller. Have fun with your team!"
Teacher Script: Our facilitators are trained to say: "It's time for our ensemble to start our secret mission now. We’ll see the grown-ups at the end of class!"
5. Legal & Duty of Care Considerations
Duty of Care: Once you have dropped your child into the care of our two facilitators (1:8 or 1:10 ratio), our legal duty of care begins. You are not required to stay for insurance purposes; in fact, our insurance specifically covers the students under our professional supervision.
Safe Environment: As per our Child Safety Policy, having fewer adults in the room makes it easier for our staff to maintain a secure environment and monitor all participants effectively.
Open Door Policy: While we encourage independence, we are not a "closed" studio. Parents are always welcome to check in with the Director, and we will have "Viewing Days" or "Open Classes" at the end of terms so you can see their progress.
6. Exceptions
If a student has significant separation anxiety, neurodivergence, or a disability that requires a longer transition, please refer to our Neurodivergence & Disability Inclusion Policy. We can arrange a custom "Separation Plan" (e.g., the parent sits just outside an open door) to ensure the child feels safe without hindering the rest of the class.

At Play Every Day, we are committed to creating vibrant, engaging classes for all participants. To ensure the best possible experience, each class requires a minimum number of enrolments to go ahead.
Minimum numbers are determined by the Director and may vary depending on the class, age group, and format.
If a class does not reach its required minimum, it may be cancelled or rescheduled.
In the event that a class cannot go ahead, participants will receive at least 5 days’ notice.
When paid in advance a full refund will be provided for any class that is cancelled due to not meeting minimum enrolments.

Social Media & Image Use Policy
Purpose
This policy outlines how Play Every Day collects, uses, and manages photographs and video recordings of participants for social media and promotional purposes, in accordance with Australian privacy obligations.1. Consent Requirement
Play Every Day will only capture and use images or video of participants where explicit consent has been provided by a parent or legal guardian.
Consent must be informed, voluntary, and specific to the intended use (e.g. social media, marketing, website).
Where appropriate, we will also seek assent from the child or young person.
2. Scope of Use
Where consent has been granted, Play Every Day may use images and recordings for:
Social media platforms (e.g. Instagram, Facebook)
Website and digital marketing
Printed promotional materials
Internal documentation and reporting
Images will only be used for the purposes outlined at the time consent is obtained. Additional uses will require further consent.
3. Privacy and Personal Information
Images of identifiable individuals are considered personal information under Australian privacy law.
Play Every Day will take reasonable steps to ensure:
No sensitive personal information (e.g. full names, contact details, location) is published alongside images
Images are appropriate, respectful, and not misleading
Content does not place participants at risk
We recognise that once images are shared online, they may be copied, reused, or distributed beyond our control.
4. Children and Young People
Additional care is taken when working with children and young people.
Consent must be obtained from a parent or legal guardian prior to capturing or publishing images.
Images will:
Present children in a respectful and appropriate manner
Avoid identifying information
Not focus on vulnerable or private contexts
5. Opt-Out and Non-Consent
Participants who have not provided consent may from time to time end up photographed when working in groups these images will never be used with your childs face
Play Every Day will implement reasonable measures to identify and exclude these participants from captured content (e.g. verbal reminders, visual identifiers where required).
6. Withdrawal of Consent
Consent may be withdrawn at any time by the parent/guardian in writing.
Upon withdrawal, Play Every Day will:
Remove images from future use; and
Take reasonable steps to remove existing content from platforms under its control
Participants acknowledge that complete removal from third-party platforms may not always be possible.
7. Storage and Security
Images and recordings will be stored securely and accessed only by authorised personnel.
Play Every Day may retain images for archival and promotional purposes unless consent is withdrawn.
8. Liability
By providing consent, parents/guardians acknowledge that:
Images may be shared publicly on digital platforms
Play Every Day cannot control third-party use once content is published
Play Every Day is not liable for misuse of images by external parties where reasonable precautions have been taken.
9. Policy Review
This policy may be updated periodically to reflect changes in legislation, best practice, or organisational requirements.

Language and Conduct Policy
Play Every Day is committed to providing a safe, inclusive, and age-appropriate learning environment for all participants. As part of this commitment, the use of language within classes is guided by the following policy.
1. Junior Level 1 and Tween Level 2 Classes
The use of swearing or explicit language is strictly prohibited in Junior Level 1 and Tween Level 2 classes.
Participants are expected to use respectful, age-appropriate language at all times.
2. Senior Level 3 Classes
In Senior Level 3 classes, the use of strong or explicit language may be permitted where it is:
Relevant to a scripted or devised scene; and
Used within a clear artistic and educational context
Any such language must be approved by the facilitator prior to use.
The facilitator reserves the right to restrict or modify language to ensure the safety and comfort of all participants.
3. General Expectations
Language that is derogatory, discriminatory, or harmful is not permitted in any class under any circumstances.
Play Every Day reserves the right to intervene where language is deemed inappropriate or disruptive to the learning environment.
4. Breach of Policy
Failure to comply with this policy may result in:
A verbal warning;
Removal from an activity; or
Further action at the discretion of Play Every Day
